1. Who we are
Valora Travel Limited (“Valora Travel”, “we”, “us”) is an independent UK cruise specialist. This policy explains how we collect, use and protect your personal information when you contact us, request a consultation, book a cruise, or use this website.
Valora Travel Limited is registered in England & Wales (company number 16207520). Our registered office is 79 Kentons Lane, Windsor SL4 4JH. We are registered with the Information Commissioner’s Office (ICO registration number ZC199429).
2. Information we collect
We collect information you give us directly, including:
- Contact details — name, email, phone number.
- Travel details — party composition, dates, preferences, budget, special requirements.
- Booking details — passenger information required by the cruise line (including passport and date-of-birth data where needed).
- Communications — messages you send us and notes from our conversations.
- Website usage — basic technical data (IP address, browser, pages viewed) via cookies and analytics.
3. How we use your information
- Respond to enquiries and provide consultations.
- Arrange, book and administer your cruise.
- Keep in touch about your booking before, during and after travel.
- Refer non-cruise enquiries to trusted partner agents (only with your knowledge).
- Send occasional cruise notes and guides where you have opted in.
- Meet our legal, regulatory and financial-protection obligations.
4. Lawful basis (UK GDPR)
We rely on the following lawful bases under the UK GDPR:
- Contract — to arrange and administer bookings you ask us to make.
- Legitimate interests — to respond to enquiries and run our business as an independent cruise specialist.
- Consent — for marketing emails and non-essential cookies. You may withdraw consent at any time.
- Legal obligation — where we are required to retain records (for example financial records).
6. International transfers
We will only transfer your personal data outside the United Kingdom where this is necessary to provide the travel services you have requested. This will typically occur when we submit your booking details to cruise lines, airlines, hotels, tour operators, transfer providers, insurance providers, or other travel suppliers, including but not limited to Royal Caribbean International, Celebrity Cruises, Silversea Cruises, and other suppliers relevant to your booking. These suppliers may process your personal data in countries outside the UK.
Where personal data is transferred internationally, we will take reasonable steps to ensure that appropriate safeguards are in place to protect your information, as required by UK data protection law. These safeguards may include reliance on a UK adequacy decision, the UK International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or another lawful transfer mechanism. Where no such safeguards are available, the transfer will only take place where it is necessary for the performance of the contract between you and us (for example, to make or manage your travel booking).
By requesting that we arrange travel on your behalf, you acknowledge that your personal data may need to be transferred to and processed in countries outside the United Kingdom where this is necessary to fulfil your booking and provide the travel services you have requested.
7. How long we keep it
We will only retain your personal data for as long as is necessary to fulfil the purposes for which it was collected, including to provide our travel services, comply with legal and regulatory obligations, resolve disputes, and enforce our contractual rights.
Our typical retention periods are as follows:
| Type of information | Retention period |
|---|---|
| Booking records, invoices and payment information | 7 years after completion of your booking, to comply with UK tax and accounting requirements. |
| Customer correspondence relating to bookings | 7 years after completion of your booking. |
| Identification documents (where required for a booking or regulatory purposes) | Deleted as soon as they are no longer required, and in any event no later than 12 months after completion of the booking, unless a longer retention period is required by law or to resolve a dispute. |
| Marketing preferences | Until you withdraw your consent or ask us to stop sending marketing communications. |
| Website enquiries where no booking is made | Up to 24 months from your last contact with us. |
| Website analytics and cookies | Retained in accordance with our Cookie Policy and the settings of the relevant analytics provider. |
When the applicable retention period expires, we will securely delete or anonymise your personal data unless we are required by law to retain it for a longer period or it is necessary for the establishment, exercise or defence of legal claims.
8. Your rights
Under the UK GDPR you have the right to:
- Be informed about how we use your data (this policy).
- Access the personal information we hold about you.
- Have inaccurate information corrected.
- Ask us to delete your data in certain circumstances.
- Restrict or object to certain uses of your data.
- Data portability, where applicable.
- Withdraw consent to marketing at any time.
- Complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
To exercise any of these rights, email lars@valoratravel.co.uk.
10. Financial protection
Your money is financially protected — Valora Travel is ATOL & PTS Protected.
Flight-inclusive bookings are financially protected by the ATOL scheme, provided by our partner The JLT Group (ATOL 6090). You will be supplied with an ATOL Certificate when you pay. Cruise-only payments made directly to Valora Travel are protected via Protected Trust Services (PTS), an independent trust that holds client money until it is due to the cruise line.
11. Security
We use reasonable technical and organisational measures to protect the personal information we hold, including access controls, secure hosting and encrypted transmission of website form submissions.
12. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top shows when it was most recently revised. Material changes will be communicated where appropriate.
